Job Title:     AP Associate                                

Reports to:  Director of Accounts Payable

Overview

AP Associate reports to the Director of Accounts Payable supporting the department by performing a number of required duties.

 

Essential Job Responsibilities

  • Assures daily receipts and returns are posted accurately to AP sub-ledger, and follows up on exceptions.
  • Codes such items as invoices, vouchers, expense reports, check requests, etc., with correct codes conforming to standard procedures to ensure proper entry into the financial system.
  • Handles all vendor correspondence via phone or email
  • Attaches the supporting documentation to incoming invoices and sees that necessary approvals are attained.
  • Investigates and resolves problems associated with processing of invoices and purchase orders.
  • Prepares batch check runs, wire transfers, and ACH transactions assuring timeliness, accuracy and capture of all discount opportunities.
  • Prepares checks and remits, attains proper approval and mails payments.
  • Completes Positive Pay process on banking platform and responds to any inquiries.
  • Reconciles various accounts by identifying errors in posting or omissions by reviewing vendor statement against Tourneau trial balance.
  • Coordinates with merchandisers and inventory regarding merchandise returns, markdowns and conversions.
  • Receives, researches and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.
  • Maintains, and distributes accounting documents, records and reports.
  • Support for monthly and year-end closings plus periodic and annual external audits.
  • Performs other duties as required to support department.

 

Qualifications

  • Organized and analytical.
  • Skills in Excel and adaptability to learn new systems.
  • Eager to learn, be part of a team, and ability to meet deadlines with attention to details.
  • Bachelor’s degree
  • Experience in a retail environment a plus

 

SALARY RANGE: $22.00-25.00 per hour commensurate upon experience.
